Registration Terms and Conditions

Delegate registration inclusions are:

  • Attendance to all Conference sessions and exhibition
  • Conference name badge 
  • Morning and afternoon refreshment breaks and lunches
  • Attendance at the Welcome Reception plus option to purchase guest tickets

Cancellations must be notified in writing to register.afhc2026@arinexgroup.com.

Cancellation Policy
Cancellations before 1 June 2026 will incur a AUD150 cancellation fee.
Cancellations from 1 June 2026 to 22 July 2026 will incur a 50% cancellation fee.
Cancellations on or after 23 July 2026 will receive no refund.

Social Function Tickets
Payments are non-refundable as of 23 July 2026.

Unpaid Registrations
Payment by EFT / invoice is required within 14 days from the date of invoice. Registrations with outstanding EFT / invoice payments after 14 days will be advised of cancellation if payment is not received within 7 days of notification.

Declined Visa Application
If your visa application has been declined and you are unable to attend, your registration and social functions will be cancelled in line with the above Cancellation Policy.

Cancelled Paid Duplicated Registration
Cancellation of a paid duplicated registration will receive a full refund minus a AUD150 administration fee.

Credit / Direct Debit Card
We accept the following cards: Visa, MasterCard and American Express.

Payments by credit card will incur the following fees to cover administrative costs to process the payments and account reconciliations, transaction processing fees and compliance and security costs:

  • Visa and MasterCard – 2.2%
  • American Express – 3.0%

EFT / Invoice Payment
All Conference registration fees must to be paid in full prior to attending Conference .
Payment by EFT / invoice will only be available until 1 August 2026 to ensure payment is received prior to the Conference. Payment by EFT / invoice is required within 14 days from the date of invoice.

Attendees will receive an invoice for the registration fee within their registration confirmation email. You will receive your confirmation email that is sent upon completion of the registration form.

Any processing or transaction fees associated with international payments must be borne by the delegate. The total amount due on the EFT / invoice must be received by the Conference Organisers, and no deductions for bank fees, foreign currency conversions, or other charges will be accepted.

Registration Confirmation
Your completed registration and successful payment will be acknowledged by a confirmation email, that also notes your registration selection.

Name Badge
Each delegate will receive a name badge upon arrival to the registration desk onsite. Your name badge will be your official pass to obtain entry to all Conference sessions and registered social function/s.

You are responsible for always having your badge with you. It must be clearly visible to obtain entry. Conference Organisers expect appropriate behaviour from delegates and reserve the right to revoke the name badge and privileges of anyone behaving in an inappropriate manner.

Please apply for your visa three months or earlier prior to Conference. Your visa application may not be approved if your Conference registration is not paid in full.

International delegates will automatically be sent a welcome letter shortly after your confirmation email has been sent, upon completing the registration form. Please note that if your visa application has been declined and you are unable to attend, your paid registration and social functions will be cancelled in line with the standard registration cancellation policy.

The organisers cannot take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin. 

Please note that Conference registration fees do not include insurance. It is strongly recommended that at the time you register for the event and book your travel, you purchase an insurance policy of your choice. The policy should include:

  • Loss of fees/deposit through cancellation of your participation in the event or through the cancellation of the event, 
  • Loss of international/domestic air fares through cancellation for any reason, 
  • Loss of tour monies through cancellation for any reason including airline or related services strikes within Australia, 
  • Failure to utilise tours or pre-booked arrangements due to airline delay, 
  • Force Majeure or any other reason, 
  • Medical expenses (including sickness and accident cover), 
  • Loss or damage to personal property, 
  • Additional expenses and repatriation should travel arrangements have to be altered, 
  • Medical expenses.

The Host and Organiser of the Alliance for Healthy Cities Conference 2026 (the “Event”) reserve the right to remove from the venue/event at any time any attendee deemed to be causing, or potentially causing, a disturbance or exhibiting disruptive or inappropriate behaviour. Such removal does not constitute a right to refund of any fees paid. Our Code of Conduct can be found here.

The program is correct at the time of publishing. The organisers reserve the right to delete, modify or alter items from the program or to delete, modify or alter any aspect of the Conference timetabling and delivery at their sole discretion and without notice. Neither the host organisation(s) nor the Conference Organisers will accept any liability for any loss or inconvenience caused to any party consequent to such changes. 

The Conference Organisers reserve the right to use any recordings, whether audio or video and/or any photographs, taken at any stage during the conference for promotional, advertising or reporting of the conference and/or its content at their sole discretion.

Australia operates under the Privacy Act 1988 (Cth), as amended, and the Privacy Amendment (Notifiable Data Breaches), 2017. The objective of these is to protect the right of the individual to privacy of their information. 

Europe operates under the General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679), a regulation in EU law on data protection and privacy for all individuals within the European Union. The GDPR aims primarily to give protection to citizens over their personal data. The legislation was adopted on 27 April 2016. 

The Conference Managers will not sell your personal information to third parties. If you believe that any information we are holding on you is incorrect or incomplete, please email us and we will promptly correct the information. You may also withdraw your consent for use of your information by advice to us in writing.

Why do we wish you to provide your information?
We require your information to facilitate provision of information to you regarding the Conference and to facilitate your participation in the Conference . Information collected in respect of your proposed participation in any aspect of the Conference will be used for the purposes listed below. You can give or withhold your consent for each or all of these uses. Please indicate your preferences when completing your registration form but please note that we will be unable to forward any information relating to the Conference or to communicate with you regarding your registration if you select ‘no’ to point 1.

What will we do with your information? 

  1. Planning and conduct of the Conference including arrangements for your participation; 
  2. In the Attendee List for the Conference ; 
  3. May also be provided to organisers of future occurrences of this Conference ;
  4. May be used to provide you with information of other relevant events in your area of interest. 

Important Notes:
The parties who will have access to your information (subject to your preference selections on above points) are the Conference Managers (points 1 and point 3), sponsors and exhibitors of the Conference (point 2) and any future organisers of the Conference (point 3). 

The parties mentioned above will rely on your above consent indications for the purposes of compliance.

You may withdraw your granular consent at any time by notice in writing to the Conference Managers. 

You are entitled to access the information held by written application to the Conference Managers.

Some external individuals/companies may be sending emails that reference AFHC 2026, potentially giving the false impression they are affiliated with the Conference . These entities are not connected with the official Conference Organisers, and may not be legitimate travel providers. Some may be attempting to fraudulently obtain personal or financial information.

All official registration, travel and/or accommodation information will come directly from Arinex (where applicable). We strongly recommend using only travel agents or services you personally know and trust.

Engaging with third-party providers is at your own risk, and the Conference Organisers accept no liability for any resulting issues or losses. Stay alert and rely only on official communication channels.
